Job Summary: The unit secretary performs clerical duties on assigned patient care unit under the supervision of the Charge Nurse.
Technical and Job Specific Skill:
Telephone Skills: Must demonstrate hospital telephone etiquette by answering the phones promptly, courteously and by identifying department and self.
Policy/Procedures: Is aware of and follows all hospital and department policies and procedures.
Teamwork: Promotes positive co-worker relationships through teamwork and cooperation. Understands and supports the needs of individuals in other departments and promotes conflict resolution. Shares information, work knowledge and experience with co-workers, physicians, and students in a non-threatening manner. Offers assistance and promptly responds to requests.
Productivity: Maintains high productivity and performs efficiently regardless of whether the work volume is high or low. Appropriately prioritizes work activities. Responds to difficult situations with self-control and a positive attitude. Makes decisions independently and knows when to ask for assistance. Exercises good judgment and arrives at sound decisions.
Clerical duties
- Accurately and legibly transcribes physician orders in Kardex and sends requisition slips to appropriate departments in a timely manner
- Verifies all transcribed orders are signed by an RN throughout the shift
- Prepares and maintains charts
- Copies and prepares charts for transfers
- Assures acuity information is obtained from RN for reporting as per policy
- Reviews advance directive information to be certain it is completed appropriately and follows through, if necessary
- Collects information for legal documents (i.e.: birth certificates/ death certificates), if needed
- Accurately completes and submits charge documentation
- Facilitates contact with payor, if indicated
Communications
- Utilizes patient call light system and communicates patient needs to appropriate staff
- Answers incoming calls promptly, efficiently and courteously
- Promptly notifies the team leader of STAT orders& patient/family requests
- Notifies physicians as directed by the charge nurse
- Reports all unusual occurrences to supervisor, charge nurse, or team leader
- Promptly notifies appropriate areas of patient admit, transfer, and discharge
- Copies and prepares charts for transfer
- Responds to emergency situations and assists as needed
- Promptly notifies EVS of patient discharge/transfer and follows through to assure room availability for pending patient admits/transfers
Supplies/equipment
- Orders supplies and equipment as directed
- Facilitates equipment repairs
- Stores orders
- Information Management
- Utilizes information systems promptly and efficiently (for example: Omninote, diet list computer, page system).
- Promptly notifies appropriate staff/departments of patient discharge and transfer
Unit Involvement
- Attends 50% of staff meetings
- Has knowledge of unit goals and expectations
- Follows hospital policy and procedure
- Attends all mandatory courses as designated
- Demonstrates responsibility for self development by participating in learning activities to obtain skills to meet learning gaps as identified by supervisor
Patient Rights
- Upholds all patient rights
- Treats all patients, families and coworkers in a polite and respectful manner
- Reports immediately any issues where patient rights might be compromised to supervisor, charge nurse, or team leader
- Performs any other duties or responsibilities that may be assigned
Qualifications:Training and Experience:
Mandatory:
Knowledge of medical terminology
Preferred:
- Computer skills
- Previous unit secretary experience in acute care setting
